Dear partners,

At a previous Administrators meeting we discussed developing a reporting tool to assist you with collecting and displaying data. With that in mind, we have developed the Ridematch Monthly Counts template. With this template you can create a Monthly Performance Indicator chart and a Rolling 12 Month Performance Trend chart. You will only need to add information on the first tab, named RSOPI, the information will self-populate and create the charts as you go.

Your source data will come from the User Menu and the General Alternative Report. You will need to enter the following fields on the template, from the User Menu: Active Users and from the General Alternative Report: New Users, Total Users, Ridematch Searches Performed, Ridematch Searches w/ No Results, CO2 Savings Logged. For the Rolling 12 Month Performance Trend chart, for each month you will need to select the data source to include the most recent month’s data. You can do this by right clicking on the chart, then select data, and adjust the chart data range and month. We are also including a sample template that you can review. The template and sample reports are located in the Tools section of Smart Transportation site. If you have questions let us know.

Thanks,

Is it possible to fill in the table with data from previous months? I'm not aware of a way to access monthly data for the number of active users. Also, I can't seem to limit the number of searches and amount of CO2 saved to a specific month, or even the current month. On the General Alternative Report, it says these are  based on all time. Although I suppose the first month could be a baseline and we could track changes. But without a way to store this data over specific time ranges, it'd be vital to update this excel file on the first of every month.

Hi Rebecca,

Sorry for the delay in responding.  I was on vacation.

On the General Alternative Report only the Ridematch Statistics are for All Time.  In King County, in order to get a monthly change, we run and save out the report every month on approximately the same date.  With the exception of the New Users count, the balance of the data fields on the General Alternative Report are based on calendared data for the specified period of time. Please remember that users can calendar data for 28 days following the date, so it is best to pull data following that 28 days period.  For example, on January 1, you may wish to run a report with a date range of 11/1 - 11/30/2013.   The New users, miles, trip counts, CO2, Gasoline, and Monitary Savings would be for the designated time frame.  The Ridematch Statistics would be cummuative as of January 1.  You could pull the inactive and active registrants on the same date from the User Menu screen.

I had the same issues as Rebecca Szabo. I could not find the monthly breakdown for Total and Active User's, just cumulative annual totals.

Also, under Ridematch Statistics on the General Alternative Trans. Report, the Ridematch Searches Performed and Ridematch Searches w/no Results are the same every month for the entire year. There also seems to be a discrepancy by one to several on the total monthly Newly Registered Users between the General Alternative Trans Report and the Registration and Network Statistics Report.

Hi Julie

Sorry for the delay in getting back to you.

Your right, these numbers are cumulative. Anne suggests running the report every month on the approximate same date, record the number, and compare data.

For your other question, the General Alternative Transportation Report displays the number of New Users that joined the network during the specified time frame. These could be either new registrations or someone that associated with the network after their registration. For example, if a user signed up in January in the system and changed the home or work address in April and if the user got associated with a network as a result of the changed address – that user would show in the General Alternative Transportation Report in April but would not show up in the Registration and Network Statistics report for Month for that network.

The Registration and Network Statistics report displays the Total New Registered users which are users that registered in the system in the given timeframe and are currently associated with the network.  If the user changes the network, the registration count moves to the next network. The user has to be currently associated with the network for the count to show.  E.g. I live/work in King County so when I register I show in their count in January.  I subsequently move and change my work location to Pierce County 3 months later (April).  This causes the number to go down in the older network (so King county in this example).

I should also note that both “General Alternative Transportation Report” and “Registration and Network Statistics Report” show counts for users who were imported and where the account was linked with that network. If the imported users do not validate their account in 7 days, their account is removed. This can cause a change in the numbers in both reports following the 7 day period.
