New spreadsheet translation tools are now available via the Smart Transportation main page. These spreadsheets are intended to help employers translate data from iCarpool reports into a list of employees and the subsidy amount each has earned. Even if you aren't working with employers, you might find these tools interesting because they show how you can use software outside the iCarpool platform to customize reports and streamline business activities.

Employers often base incentives and subsidies based upon mode, distance and other factors. In some cases, employees who use an efficient commute mode earn a bit of extra money in their paycheck. Payroll staff will likely need a clear, concise list of employees and the amount they earn. While the iCarpool system captures most of the data employers need, it does not offer a report that a.) reflects each organizations specific and varied subsidy/incentive structure and b.) presents the information in a manner that meets the exact needs of each payroll office. To help meet these needs, we are offering easy-to-use, customizable spreadsheets that help automate the translation process.

Quick, easy and customizable

Plug in your subsidy/incentive amounts, pull a report or two from iCarpool and paste them, unedited, into a spreadsheet. Then let Excel do the rest. With only a bit of skill and training, you can adjust the time period, types of trip (commute, non-commute work related, etc.) and incentive/subsidy modes and amounts. With a bit of help from someone who's got some Excel skills, you can further customize and automate the data.

Want to take a look? You'll find the translation spreadsheets on the Smart Transportation main page. They're in the More box on the left side of the page. I'll also demonstrate how they work at the monthly administrator's conference call tomorrow (June 26, 2012) and can provide demonstrations upon request.

Want to give them a try? Look for the instruction tab on each spreadsheet for step-by-step instructions.

Stan these spreadsheets look great, however, the ones I see posted looked to be the same spreadsheet.  Did i miss something?

Mark: you didn't miss something. I made a mistake when attaching the spreadsheets. Give it a try now - I believe I have corrected the error and you should see two different spreadsheets.
